Managing a safety-training programme with proportionate data

Start with decisions

A dashboard is useful when it supports a decision. For every metric identify the user, question and action. An HSE lead tracks coverage, a facilitator sessions to debrief, and an administrator licences or devices needing intervention. Separate technical device state from learning data: those purposes do not require the same detail.

Choose a few reliable indicators

Begin with intended population, active people, assignments, sessions started and completed, and deadlines. Document period, exclusions and source. Treat scores carefully: differences may come from context, assistance, version or incident. Aggregated data is generally more appropriate for programme decisions.

Organise access

Each person sees what their role and company require. A learner accesses their journey, a facilitator their groups, an authorised manager a consolidated view, and SimuVerse what service delivery requires. A platform administrator never counts as a trainee or consumes customer capacity. Avoid shared accounts and protect exports.

Preserve auditability

A session has a unique identity and remains linked to company, learner, module, licence and where possible device. Duplicates, offline retries and late synchronisation need explicit handling. Sensitive corrections record actor, previous state and new state. Defined business transitions protect better than a free-text status.

Define retention

Retain according to purpose, contract and applicable duties. A final invoice, technical log and certificate need different periods. Archiving stops ordinary use without destroying necessary evidence. Disabling or anonymising a user is often more coherent than a cascade that breaks the audit trail.

Monthly review

  • Check licences approaching expiry\n- Review inactive, failed or outdated devices\n- Check incomplete assignments and sessions\n- Review rights and invitations\n- Process tickets and expansion requests\n- Record decisions and actions\n\nOpen the customer portal or contact the team through the project page.
